2. About This Privacy Policy

Your privacy matters to us. This Privacy Policy explains how we collect, use and share personal information when you visit closeeducation.com, contact us, request a demo, attend a training or otherwise work with us online or offline (together, the “Services”). Please take a moment to read it in full.

If you have questions, concerns or complaints about this policy or how we use your personal information, email us at closeeducation@gmail.com.

3. What Personal Information We Collect

Information you give us

  • Demo requests and inquiries. When you use our contact form or reach out to us, we collect your name, work email address, phone number, school or district, state, role, the programs you’re interested in and anything you include in your message.
  • Contact information. If you sign up to receive updates, emails or text messages from us, we collect your name, email address, mailing address, phone number and any other information needed to contact you about the Services.
  • Purchasing and billing information. When a school or district purchases through us, we collect the details needed to prepare quotes and process orders, such as billing contacts, billing addresses and purchase order information. If a payment is made by card or other online method, that information is collected and stored by a third-party payment processor and is governed by that processor’s privacy policy. We do not store card numbers.
  • Surveys, feedback and events. You may give us information when you complete a form, survey or questionnaire, provide feedback, attend a training or event, or take part in a promotion or giveaway.
  • Communications. We keep information from our communications with you, including emails, phone calls and text messages, such as how you contacted us, your preferences and anything else you choose to share.

Information collected automatically

Like most websites, our site and hosting provider automatically record basic technical information when you visit, such as your IP address, browser type, device, pages viewed and the date and time of your visit. This is used to keep the site running, secure and free of spam. Our hosting provider may set a small security cookie to filter out automated traffic, and our web fonts are delivered by Google Fonts, which receives your IP address when a page loads. We do not currently use advertising or tracking cookies or analytics tools. If that changes, we will update this policy.

4. Student Data and Children’s Privacy

Our website is intended for educators, administrators and other adults. We do not knowingly collect personal information from children under 13 through this site. If you believe a child has submitted personal information to us, contact us and we will delete it.

Student information entered into Ascend Math or Whole Phonics is collected and managed through those programs and is governed by the publishers’ own privacy policies and your school or district’s agreements with them, including applicable student privacy laws such as FERPA and COPPA. Where we assist with setup, training or support, we access student information only as needed to provide that help, as directed by the school or district, and we never sell it or use it for marketing.

5. How We Use Your Personal Information

We use the personal information we collect to:

  • Respond to your questions, demo requests and support needs, and send you notices, updates and administrative messages.
  • Schedule and deliver demos, pilots, trainings and implementation support.
  • Prepare quotes, process orders and handle billing and collections.

  • Carry out our obligations under any contract between you (or your school or district) and us.

We may also use your personal information to meet our legal obligations or for any other purpose we describe to you when we collect it.

7. How We Share Your Personal Information

We do not sell your personal information. We may share it only in the following ways:

  • With the publishers of the programs we represent, Ascend Education (Ascend Math) and Whole Phonics, when needed to set up demos, trials, licenses, training or support you have requested.
  • With vendors and service providers who process information on our behalf, such as website hosting (Bluehost), email and text message marketing (Mailchimp), payment processing, accounting and other business services. If you opt in to our email list or text messages, your name, email address and mobile number are stored with Mailchimp so we can send those messages.
  • In connection with, or during negotiations of, any merger, sale of company assets, financing or acquisition of all or part of our business.

We may be legally required to disclose personal information without your consent, for example to comply with a court order or a lawful request from law enforcement. We will do so only when we believe in good faith that the law requires it.

8. Your Marketing Choices

We send marketing messages only if you have asked to hear from us, purchased or used our Services, or provided your details at an event or promotion. If you opt out of marketing messages, we may still send you non-promotional messages, such as replies to your requests or information about an order or training. We will ask for your consent before sharing your personal information with any third party for their own marketing purposes.

You can unsubscribe using the link in any marketing email, reply STOP to any text message, or ask us to stop at any time by emailing closeeducation@gmail.com.

9. How We Protect Your Information

We use reasonable administrative, technical and physical safeguards to protect personal information, including encrypted connections to our website. No method of transmission or storage is completely secure, however, so we cannot guarantee absolute security.

10. Retention and Deletion

We keep personal information only as long as needed for the purpose it was collected. In deciding how long, we consider the amount, nature and sensitivity of the information, the potential risk of harm from unauthorized use or disclosure, why we need it, and any legal requirements, such as required retention periods for business and tax records.

We may keep personal information longer when needed to comply with our legal obligations, to bring or defend a legal claim, or for evidential purposes. Details of retention periods for specific types of information are available on request using the details in Contact Us.

11. International Transfers

Close Education is based in the United States and your information is stored and processed here. If personal information is transferred outside the United States, we will make sure appropriate safeguards are in place.

12. Your Data Protection Rights

Depending on where you live, you may have some or all of the following rights under applicable data protection laws, including U.S. state privacy laws. To exercise any of them, contact us using the details in Contact Us.

  • Access, correct or request deletion of your personal information.
  • Object to or ask us to restrict processing of your personal information, or request a copy of it in a readable, standard format (data portability).
  • Withdraw your consent at any time where we rely on consent to process your information.

We will not treat you differently for exercising your rights. We may need to verify your identity before acting on a request, and we respond to all requests in accordance with applicable law. You may also have the right to complain to a data protection or consumer protection authority in your area.

13. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. When we do, we will revise the effective date at the top of this page and, where the changes are significant, take appropriate steps to let you know. Please check back periodically for the latest information on our privacy practices.
